About the Role:
We are seeking a highly organized, proactive, and detail-oriented Operations Manager to join our growing team. This critical role is responsible for the smooth and efficient operation of the agency, encompassing finance, project management support, resource allocation, and overall operational efficiency. The ideal candidate will be a problem-solver with a strong understanding of advertising agency processes and a passion for creating a supportive and productive environment for our team.
Responsibilities:
Finance & Administration:
- Financial Reporting: Prepare, analyze and annotate internal client based financial reports, including client profitability and budget variance analysis.
- Financial Compliance: Ensure adherence to all relevant financial regulations and accounting principles.
- General Financial Operations: Assist team as needed with Purchase Orders, Freelance Recruiting activities and Vendor and Expense Management.
Project Management Support:
- Project Tracking & Reporting: Assist project managers in tracking project progress, budgets, and timelines.
- Resource Allocation: Support the allocation of resources (personnel) to projects, ensuring optimal utilization and efficiency. Identify opportunities to optimize resource utilization and improve overall team productivity.
- Project Performance Analysis: Analyze project performance data to identify areas for improvement and efficiency gains.
Operations & Administration:
- Process Improvement: Identify and implement process improvements to streamline workflows and enhance efficiency.
- Policy Development & Implementation: Assist in the development and implementation of agency policies and procedures. Ensure compliance with all relevant legal and regulatory requirements.
- Internal Communication: Facilitate effective internal communication, ensuring that all team members are informed of important updates and announcements.
- Reporting: Provide regular reports to senior management on key operational metrics.
Qualifications:
- 3+ years of experience in client finance or project management, preferably within an advertising agency or related industry.
- Detail-oriented and able to manage multiple tasks simultaneously, concurrent deadlines and competing priorities.
- Strong understanding of an advertising agency operates, it’s standard operating processes and workflows.
- Advanced Excel required (working with and analyzing large sets of data), proficiency in PowerBI (or equivalent) ideal and familiarity with Powerpoint preferred.
- Ability to work independently and as part of a team.
- Proactive and able to anticipate potential problems and develop solutions.
