VML is seeking for an Executive Assistant to provide comprehensive support to our CEO and senior executives. We are looking for a person proactive, exceptionally organized, and detail-oriented, with the ability to anticipate needs and offer efficient solutions. Advanced/bilingual English proficiency is a must, and experience in press and communications will be highly valued.

What you'll do

  • CEO Calendar Management – Schedule internal and external meetings, calls, and video conferences.
  • Travel Coordination – Handle travel arrangements, including ticket issuance, accommodation bookings, and itinerary management.
  • Expense Management – Process and monitor expense reports, ensuring compliance with company policies.
  • Project & Task Follow-Up – Keep executives informed on key deadlines and deliverables.
  • Administrative Advisory – Support executives with administrative needs, providing proactive and strategic recommendations.
  • Presentation Creation – Develop high-quality presentations using PowerPoint or similar tools.
  • Document & File Management – Organize and maintain key records and documents.

Who you are:

  • Proven experience as an Executive Assistant supporting senior executives.
  • Bilingual or advanced English level– Fluency in both written and spoken communication.
  • Exceptional organizational skills – Ability to manage priorities and tasks efficiently.
  • Discretion and professionalism – Ability to handle confidential information with integrity.
  • Highly adaptable and responsive – Able to pivot quickly and anticipate executive needs.
  • Excellent communication skills – Strong interpersonal skills to liaise with internal and external stakeholders.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in press and communications (preferred but not required).
