About the role and what you will do:
As the EA to the Executive Team, you will be working in a very fast-paced environment. This role requires a service-minded and administration-focused individual who is confident in their abilities. You will need to understand the intricacies of a complex organisation and have the business insight to communicate and work effectively with stakeholders. This role will often see the constant need for re-prioritisation of the Executive Team tasks therefore a flexible mindset and approach is needed.
What you will bring:
- Manage the day-to-day calendar and inbox: Schedule appointments and prioritise the most sensitive and urgent matters, ensuring the Executive Team time is used effectively.
- Draft responses to emails: Anticipate needs and manage communications in a proactive and timely manner.
- Proofread documents: Ensure accuracy and professionalism in all communications, clean up PowerPoint presentations, and organise files and documents.
- Coordinate meetings: Arrange meetings with multiple participants, both internally and with clients, ensuring all logistical details are managed smoothly.
- Prepare for meetings: Collect information, conduct research, and organise any pre-work required for meetings.
- Participate in meetings: Take detailed notes and ensure follow-up on any action points, keeping everything on track.
- Manage travel and accommodation arrangements: Plan and book travel and accommodations working with our travel planner, ensuring all details are handled efficiently.
- Organise and handle expenses: Track and manage expense reports, ensuring accurate and timely processing.
- Coordinate and ensure progress on various internal ad-hoc tasks and projects: Proactively simplify and increase the efficiency of the Executive Team everyday tasks, assisting wherever possible to enhance productivity.
- Maintain confidentiality: Handle sensitive information with the utmost discretion and professionalism.
